    This Privacy Policy explains what information Savvy Dealer, Inc. collects through this website (savvydealer.com), how we use it, who we share it with, and the choices you have. We wrote it to describe what we actually do, in plain language.

    SMS / Text Messaging

    Savvy Dealer, Inc. and the dealerships we serve may send you text messages (for example, a request for feedback or an online review) if you provide your mobile number and agree to receive them, typically at the dealership during a purchase or service visit.

    • Message frequency varies.
    • Message and data rates may apply.
    • Reply STOP to any message to opt out. Reply HELP for help.
    • No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

    Information We Collect

    Information you submit through forms

    The forms on this website collect personal information only when you choose to submit it. Depending on the form, that includes:

    • Lead and proposal forms: your name, email address, phone number, dealership name, and any message you include.
    • Demo scheduling forms: your name, email address, phone number, dealership name, and your preferred date and time.
    • Text-us form: your first name, phone number, and message.
    • Support requests: your name, email address, dealership name, a description of the issue, and any screenshots you attach.
    • Website tag scan: your email address, your dealership name, and the website address you ask us to scan. Your IP address is also passed to the scan service to prevent abuse.
    • Job applications: covered separately in the Applicant Privacy Notice below.

    Form submissions are delivered to our team by email so we can respond to you, and most are also stored in our database.

    Information collected automatically

    When you browse the site, we record the pages you visit, unless you decline analytics in our cookie banner or your browser sends the Global Privacy Control signal. To do this, we store a randomly generated visitor ID in your browser's local storage and log each page view along with the referring page, your browser type (user-agent), and any campaign tags in the link you arrived from. This ID is a random string; it does not contain your name or contact details, but if you later submit a form we may be able to associate your browsing activity with your submission.

    We also use Google Analytics, loaded through Google Tag Manager, to measure site traffic and campaign performance. Google Analytics sets its own cookies and collects information such as your IP address, device and browser details, and the pages you view. And this site is protected by Google reCAPTCHA, which analyzes traffic to distinguish people from bots; the Google Privacy Policy and Terms of Service apply to both.

    How We Use Your Information

    We use the information described above to respond to your inquiries, schedule and hold demos, provide support, run the website tools you request (such as the tag scan), understand how visitors use our site, measure our marketing, protect the site from spam and abuse, and follow up with you about our services. If you contact us as a prospective client, we may contact you by phone, email, or text message about your inquiry.

    Cookies and Similar Technologies

    This site uses a small number of cookies and similar technologies: Google Analytics cookies (set through Google Tag Manager) for traffic measurement, cookies set by Google reCAPTCHA for bot protection, and browser local storage for our first-party visitor ID and your light/dark theme preference. We do not run advertising pixels from Meta, LinkedIn, TikTok, or similar ad networks on this site.

    Analytics is on by default when you visit; it stops as soon as you decline. You can decline using the cookie banner shown on your first visit. Declining turns Google Analytics off on this site, deletes its cookies, removes our first-party visitor ID, and stops our page-visit logging. You can change your choice at any time with the Cookie Preferences link in the site footer. You can also control cookies through your browser settings, including blocking or deleting them, or opt out of Google Analytics everywhere with Google's opt-out browser add-on.

    Global Privacy Control

    We honor the Global Privacy Control (GPC) browser signal. If your browser or a browser extension sends GPC, we treat it as a decline: we do not load analytics cookies and we do not log your page visits, without you needing to do anything else.

    Service Providers

    We use a small set of service providers to run this website, and they process data only on our behalf:

    • Google: analytics (Google Analytics via Google Tag Manager) and bot protection (reCAPTCHA).
    • Resend: delivers the email notifications generated by our forms, including any attachments you submit.
    • Neon: hosts the database where form submissions and page-visit records are stored.
    • Google Cloud: hosts our servers and the service that runs the website tag scan.

    Information Disclosure

    We do not sell your personal information. We share it only in these scenarios:

    • Service providers: the companies listed above, to operate the website and deliver our services.
    • Legal requirements: when disclosure is required by law, such as in legal proceedings or in response to official requests.
    • Business transfers: in events like a merger or asset sale, your information might be part of the transitioned assets. In all instances, our dedication to your privacy remains steadfast.

    How Long We Keep Data

    We retain personal information in our website database for set periods, enforced by an automatic daily purge:

    • Page-visit records: 14 months from the date of the visit.
    • Form submissions stored in our database (lead, proposal, demo, and text-us forms): 36 months from the date of submission.
    • Job applications: 24 months from the application date (see the Applicant Privacy Notice below).

    The email notifications our forms generate (including support requests and tag-scan reports, which are not stored in our database) are kept in our business mailboxes as ordinary correspondence and are included in any deletion request you make.

    To request a copy or deletion of your personal information, email support@savvydealer.com and we respond within 30 days.

    Children's Information

    Our platforms, both online and offline, are not targeted at or designed for children under the age of 16. We are committed to protecting the privacy of young individuals. We do not intentionally gather or use personal information from those under 16 years of age, nor do we share such information with third parties. If you believe that we have inadvertently collected information from someone under 16, contact us immediately. If you are below 16 years old, please do not submit any data on our platforms.

Regardless of where you reside, we remain dedicated to treating all our customers with respect and transparency, ensuring that your personal information is handled with care.     We are committed to safeguarding your personal information and employ reasonable technical and organizational measures to protect against unauthorized access, disclosure, alteration, or destruction. Your data is encrypted in transit (TLS) and at rest, and access is restricted to essential personnel only.

    While we make every effort to ensure the security of your data, it's important to note that no online transmission can be guaranteed 100% secure. In the unlikely event of a security breach, we may attempt to notify you, allowing you to take necessary precautions. By using our services, you acknowledge the inherent risks of online data transmission.

    Applicant Privacy Notice

    This section applies specifically to people who apply for employment with Savvy Dealer through our careers page or by sending us your materials directly.

    Information we collect from applicants

    When you apply, we collect the contact and qualification information you submit (such as your name, email, phone number, LinkedIn URL, resume, and any message you include), the role and team you've expressed interest in, the acknowledgments and authorizations you provide (including FCRA background-check consent and at-will acknowledgment), and certain technical metadata captured at submission time (IP address, browser/user-agent string, and the page you applied from). If we move forward with you, we may collect additional information from a consumer reporting agency as described in the FCRA disclosure on the application.

    How we use applicant information

    We use applicant information to evaluate your candidacy, communicate with you about the role, conduct lawful background checks where you've authorized them, comply with employment and anti-discrimination laws, and maintain defensible records of our hiring process. We do not sell applicant information, and we do not use it for marketing.

    How we share applicant information

    Internally, application materials are accessible only to Savvy Dealer personnel involved in the hiring process. Externally, we may share information with: (a) the consumer reporting agency we use for background checks, and only with your written authorization; (b) service providers that help us operate the careers process (such as our email delivery provider and database host); and (c) legal authorities if required by law.

    How long we keep applicant records

    We retain application materials and acknowledgment records for 24 months following the application date, which meets or exceeds the EEOC's recordkeeping requirements (29 C.F.R. § 1602.14). If you are hired, your application becomes part of your personnel record and is retained per our standard employment recordkeeping practices.

    Your choices

    You may request a copy of the information you submitted, request correction of any inaccuracies, or request deletion of your application materials. Note that some information must be retained to comply with EEOC and other legal recordkeeping obligations; in those cases we will delete what we can and explain what we must keep.     Global Data Storage and Transfers

    While our platform serves a global audience, it's essential for our users to know that all personal information they provide is securely stored on servers located exclusively within the United States. Regardless of where you access our services, all data connections and transfers are channeled through these U.S.-based servers. By choosing to use our services, you explicitly consent to this method of data storage and transfer, acknowledging your data is managed in the United States.
